ASSISTANT PROPERTY MANAGER

Reports to – Regional Property Manager and Property Manager

Job Function - Position is responsible for the day to day assistant management of all on-site operations and achieving property financial and operational objectives as defined by the property manager and property owner. Position has primary responsibility for ensuring all traffic, prospect, leasing, renewal and revenue data is correctly entered into the property software system, producing daily, weekly and monthly activity and operating reports and that resident files are correctly maintained. Must maintain up to date aging reports collect, post and deposit all rents in a timely manner. The assistant property manager must ensure that all activities are conducted in compliance with all local, state and federal employment, housing, safety, landlord/tenant and real estate laws.

Compensation - Non-exempt. Position is eligible for bonuses as structured in the offer letter.

Job Skills - Position requires excellent administrative, strong financial understanding, organizational, and customer service skills. Ability to successfully handle multiple priorities. Must be able to successfully and effectively communicate with a variety of personnel. Must have good problem solving/analytical skills.

Experience – must have at least one year leasing experience, business manager or assistant manager. Must have proven ability to successfully work with people, understand financial reports and lease apartments. Must have proven ability to operate a computerized property management software program and produce required operations and activity reports.

Hours - Must be able to work on site 8 am to 5 pm and 9 am to 6 pm from Memorial Day to Labor Day and be on call for emergency response 7 days a week. Some weekends maybe we necessary depending on the occupancy of the property.

ESSENTIAL JOB FUNCTIONS

Work with management team to maximize revenues and adhere to budgeted cost parameters.

Works with office staff and accounting departments to ensure all monies are collected as due and that all revenue data is posted correctly in the on-site property management software system.

Work with accounting department and property manager to assist in the monthly, quarterly and yearend financial reports, leasing and other property activity reports.

Answer and respond to telephone inquiries. Schedule site visits as appropriate.

Show and lease apartments, as necessary. Review lease paperwork with residents and explain property rules and regulations. Ensure all lease paperwork is completed correctly and has been approved by the property manager.

Shop competition, by phone and personal visits, and maintain up-to-date marketing information on the competition.

Work with maintenance team to ensure that the apartment units, common areas and grounds are maintained according to property objectives.

As required, inspects units, common areas and property to ensure adherence to property standards.

Work with management team to schedule turn-keys and ensure apartment units are available for scheduled move-ins.

Adhere to company safety standards, policies and procedures. Ensure all safety inspections are completed as required in to company key control policies.

Complete as necessary, all required paperwork for all liability, workers’ compensation and property insurance claims.

Take service requests from residents and work with property management team to ensure the highest level of customer service standards.

Assists property manager with preparation of monthly resident newsletter.

Assists property manager with scheduling, organizing and hosting resident functions.

Providing updates to the property manager and owners regarding the property’s physical condition, and financial arrangements.
